Who we are
SpeakFlow is a trade name of [company name and legal form], registered with the Dutch Chamber of Commerce under number [KvK number], located at [address].
We are responsible for the data we collect through this website. Questions about privacy can be sent to hallo@speakflow.nl.
The call-back form
When you fill in the form, we receive your name and phone number, and if you provide them, your email address, company name, the time you prefer to be called and your question. We also store the language you viewed the website in and when you sent the form.
We use this data to call you back and follow up on your question. We do so because you ask us to, prior to a possible agreement.
If sending fails, your email program opens with the same details filled in. If you send that email, the details end up in our mailbox.
Email and phone
If you contact us yourself, we only use your details to answer your question and follow up.
The chat on this website
At the bottom right of every page there is a chat. You talk to an AI agent there, not to a person. What you type in the chat, and any details you leave such as your name, phone number or email address, are stored in HighLevel so we can follow up on your question.
The chat is loaded from HighLevel (LeadConnector) servers. HighLevel sees your IP address when this happens, and the chat may store data in your browser to remember the conversation when you move to another page.
Website statistics
We use Google Analytics to see how the website is used: which pages are visited, how visitors arrive and on what kind of device. Google Analytics places cookies to do this. We do not use this data to show advertisements.
You can change your choice at any time via “Cookie preferences” at the bottom of every page.
Fonts and hosting
The fonts on this website are loaded through Google Fonts. Google sees your IP address when this happens.
The website and the form run on Vercel. Like any web server, Vercel processes technical data such as your IP address to serve and secure the website.
Who we share data with
We never sell your data. We only use parties we need to make the website and the form work:
- Vercel: hosting of the website and processing of the form
- HighLevel: the customer system in which call-back requests and chat conversations are stored and followed up, and the chat on this website
- Google: website statistics (Google Analytics) and fonts (Google Fonts)
These parties are based in the United States, so data may be processed outside the European Union. This happens on the basis of [transfer mechanism, e.g. the EU-US Data Privacy Framework or standard contractual clauses].
How long we keep data
We keep call-back requests for [retention period]. If you become a customer, the terms of the agreement apply.
Data in Google Analytics is deleted automatically after [Google Analytics retention period].
SpeakFlow as the AI phone agent for your business
This statement covers the website. When SpeakFlow answers the phone on behalf of a business, we process callers’ data on that business’s instructions. We agree on this in advance and, where required, record it in a data processing agreement.
Security
The website uses an encrypted connection (https). Only the people who need to follow up a call-back request have access to your details.
Your rights
You can always ask which data we hold about you, and have it corrected or deleted. You can also object to its use, ask for it to be restricted, have it transferred or withdraw consent you gave.

If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
Changes
If we change this statement, the new version will be on this page with the date it was updated.
